Documenting a Day

 

        With today’s workload and how technology is advancing, there are certain applications out there that are available to make work easier. And at times, these applications can organize, develop, and maintain a standard for workers. Some of the most known applications out there are Microsoft Word, Excel, Access, and PowerPoint. Throughout this assignment I will be discussing the differences between different Microsoft applications, the advantages and disadvantages, and different scenarios in which these applications would be better utilized.

            Is there a superior Microsoft application compared to the rest? The simple answer is no, and this is because these applications all specialize in different things. To start off, Microsoft Word is best for typing out documents and is a word processing application. While Microsoft Excel is a spreadsheet program which possesses different programming tools, charts, tables, and provides overall organization. As for Microsoft PowerPoint, this application is used as a presentation program. The final product I will discuss is Microsoft Access. This application is a database management program which can be used for creating different applications to store data. According to Terra, “Microsoft Access enables business and enterprise users to manage data and analyze vast amounts of information efficiently. The program provides a blend of database functionality and programming capabilities for creating easy-to-navigate forms” (2023). Overall, Microsoft office is a great tool and provides numerous benefits to an organization when using it.

            Now to roll over to the advantages and disadvantages of these tools. According to Arimoto et al, “Microsoft Office is a powerful service that helps you unleash your best ideas, get things done, and stay connected on the go” (2023). Microsoft word possesses a ton of positives due to the fact there are a ton of tools within you can use to format your writing. But to some this can also be a negative as well as being overwhelming. With this, you can always just start typing out and recommendations will appear for you and help guide on certain formats. As for Excel, this application can be overwhelming as well but it is not a simple plug and plays like Word or PowerPoint. It can be difficult to use at times and takes some practice. To move to PowerPoint, it is a very straight forward application. You can start using it and make a simple presentation without having to overthink anything. When adding different designs, there is a tab to make this easier for you. Microsoft Access is not a commonly used application and with that, is not a simple plug and play. With Access and Excel, it would be recommended to take a training class or tutorial to get the most out of it.

            Finally, to move over what scenarios would best fit these applications. With Word, it is quite common to use this to complete memorandums for work, document policies, or even complete a college paper. When it comes to excel, this is utilized in areas of work which have statistics or other charts. Excel is great for charting information and receiving out some overall stats. Rolling over to access, this is used in for the creation of a database. Taking an abundance of information like names, addresses, and numbers, and having all in one generalized location with different storage and values within. Finally, there is the use of PowerPoint. This application is widely used for training personnel. You can input information within different pages and add in animations to enhance the information. There is an abundance of scenarios that these tools can be used for and overall assist with your work.

            Throughout this assignment I was able to discuss four different Microsoft applications. Moreover, I compared Word, Excel, Access, and PowerPoint, the advantages and disadvantages of these applications, and different scenarios in which these applications would be better utilized. Which led to the conclusion about the great versatility of Microsoft Office.
